Simplification for Managing Contractor Compliance

“Master List” becomes “Documents”.

“Documents” regroups all the documents that you could require from a Contractor. In NeXafe, these documents can be of 3 types:

  • Standard: Documents from outside your organization applicable to all stakeholders (you select them from NeXafe’s database).
  • Specific: The documents are specific to your organization (added directly by you).
  • Form: E-forms specific to your organization (created by you using NeXafe’s Form Builder). 

“Approval” and “Tracking”.

A document becomes a “Requirement” once added to a “Requirement List” and the list assigned to a Contractor.

Contractors comply with assigned “Requirements” by submitting valid documents which then must be approved by the requesting entity to have a compliant status.

  • All submitted documents pending approval are listed in “Approvals”.
  • All “Requirements” – with their compliance status per Contractor – are listed in “Tracking”.
  • “Tracking” was previously located in the “Reports” section and labeled “Required Items”.
  • You can still filter and save your favorite tables, and make reports from them.

New Menu & Header Configuration for Contractor Compliance

Menu has been updated and simplified.

  1. New order of the menu items in one unified list.
  2. New names for some items.
  3. Addition of “Tracking” (previously named “Required Items” and located in the “Report” section).

The Menu structure is now replicated in the Header of an active section.

Easier Access to Editing and Viewing

A blue underlined text is now direct link to the edition level (instead of clicking a specific icon at the end of the row).

The paper clip icon is now the standard link to view an attachment and is always positioned after the document’s name.

New Menu Structure and Teminology for Your Contractor Passport

The menu “My Contractor File” becomes “My Passport”.

The items in the menu constitute direct access to key elements of Passports and ease your overall compliance management.

  • Pending Requirements: All documents required by your clients which compliance approval process hasn’t been completed.
  • Documents: File of all your documents, matching a requirement or not, that you can manage.
  • Profile: Where you manage your company information. It also provides a complete view of your Passport.
  • Clients: Your list of approved collaborations, your compliance status per client, and your received or sent invitations. 

Simplified Visual for Managing Your Documents

New split window format.

All your documents are now listed in one of two side by side windows.

  • Requirements: All documents actively required by at least one client.
  • Others: Documents that you keep on file and ready to be shared automatically when required.

  1. New grouping structure and order.
  2. Several new names.
  3. Addition of  the “Tracking – Requirements” and “Tracking – Other Items” links (previously located in the “Report” section and named “Required Items” and “Non-Required Items”).

Headers of the active section now replicate the Menu structure.

Simplified Item Management in a Passport

New names for the two item windows.

  • “Required Item Manager” is now “Requirements”.
  • “Items” is now “Other Items”.

New “Items / Other Items” window format.

  • All items are now presented in table form instead of individual boxes.
  • Shows the compliance status of the item without affecting the compliance status of the Passport, like Requirements do.

Direct interaction between the “Requirements” and “Other Items” windows.

  • No more items displayed in both windows.
    • Required items appear in the “Requirements” window.
    • All others are displayed in the “Other Items” window.
  • An item will automatically switch window if its requirement status changes.
